The Challenge of Sharing Spreadsheets

Excel files create problems when shared with people who need to view but not edit the data. PDF solves these issues completely.

Sharing as Excel

  • Recipients can accidentally edit or delete data
  • Column widths change on different screen sizes
  • Formulas may recalculate with different settings
  • Custom fonts may not be installed on recipient device
  • Print areas and page breaks differ per system
  • File may not open without Excel or compatible app
  • Sensitive hidden sheets or formulas are accessible

Sharing as PDF

  • Data cannot be accidentally modified by viewers
  • Layout is fixed and identical on every device
  • Values are static snapshots, no recalculation
  • Fonts are embedded in the PDF document
  • Page layout is locked exactly as you configured
  • Opens in any browser without special software
  • Only visible data is included, hidden data stays hidden

What Gets Preserved in Conversion

Cell Formatting

  • Font family, size, bold, italic, underline
  • Cell background and text colors
  • Border styles (thin, thick, double, dashed)
  • Number formats (currency, percentage, dates)
  • Text alignment (horizontal and vertical)
  • Text wrapping and shrink-to-fit
  • Merged cells spanning rows and columns
  • Conditional formatting color scales

Visual Elements

  • Charts (bar, line, pie, scatter, area)
  • Embedded images and logos
  • Shapes, arrows, and callout boxes
  • Sparklines (inline mini-charts)
  • Data bars in conditional formatting
  • Icon sets (arrows, traffic lights)
  • Header and footer content
  • Frozen pane indicators as page breaks

Layout Properties

  • Column widths and row heights
  • Print area definitions
  • Page break positions
  • Repeat rows at top (header rows)
  • Sheet orientation (portrait/landscape)
  • Scaling and fit-to-page settings
  • Margins and centering on page
  • Gridline visibility preferences

Scaling and Layout Options

1pg

Fit All Columns on One Page

Scales the spreadsheet width to fit within a single page width. Rows continue to subsequent pages. Ideal for printing reports where you want all columns visible without horizontal page breaks.

100%

Actual Size (No Scaling)

Renders at 100% zoom. Wide spreadsheets may span multiple pages horizontally. Best when you need readable font sizes and have narrow-to-medium width data.

L

Landscape Orientation

Rotates the page to landscape (wider than tall). Provides approximately 40% more horizontal space for spreadsheets with many columns while maintaining readable text size.

A3

Larger Page Size

Use A3 or Tabloid paper size for very wide spreadsheets. Doubles the available area compared to A4. Useful for financial statements and data tables with 15+ columns.

Industry Use Cases

Financial Reports

Convert quarterly financial statements, budget spreadsheets, and P&L reports to PDF for board presentations, auditor submissions, and regulatory filings. Ensures numbers display exactly as approved.

Data Exports for Clients

Share analytics data, project timelines, or inventory reports with clients as PDFs they can easily view without needing Excel. Professional appearance without revealing formulas or hidden data.

Invoice and Purchase Orders

Many businesses maintain invoices in Excel templates with auto-calculating totals. Convert to PDF for sending to customers or vendors as official uneditable payment documents.

HR and Payroll Records

Convert employee schedules, payroll summaries, and timesheet data to PDF for secure distribution and archival. PDF format prevents unauthorized data modification.

Scientific and Research Data

Publish experimental results, statistical analyses, and data tables from Excel as PDF appendices for research papers, ensuring reviewers see data exactly as intended.

Compliance Documentation

Many regulatory frameworks require data submissions in PDF format. Convert compliance tracking spreadsheets to PDF for filing with government agencies or certification bodies.

Frequently Asked Questions

What about pivot tables?

Pivot tables are rendered as they appear in their current state. The PDF shows the pivot table display values as static content. Pivot table interactivity (expanding, collapsing, filtering) is not available in PDF format since it is static.

Can I convert Google Sheets files?

This tool accepts Excel formats directly (XLSX and XLS). For Google Sheets, first download as XLSX from Google (File > Download > Microsoft Excel), then upload the downloaded file here for PDF conversion.

Will hidden rows or columns appear in the PDF?

No. Hidden rows and columns remain hidden in the PDF output, just as they would when printing from Excel. Only visible cells are rendered. Hidden sheets are also excluded unless you specifically select them.

How are very long spreadsheets handled?

Long spreadsheets (many rows) automatically flow across multiple PDF pages. If you have header rows that should repeat on each page, ensure they are set as "Rows to repeat at top" in Excel's Page Setup before converting.

Is my spreadsheet data secure?

Yes. Files are uploaded over encrypted HTTPS, processed in isolated environments, and permanently deleted after conversion. We do not access, store, or analyze your spreadsheet data. The process is fully automated with no human involvement.

How do I convert only specific sheets to PDF?

After uploading your workbook, you can select which sheets to include in the PDF output. By default all visible sheets are converted, each starting on a new page. Deselect any sheets you want to exclude. This is useful for large workbooks where only certain tabs contain the data you need to share.

How to fix page breaks in my Excel PDF?

Set print areas in Excel before uploading (Page Layout > Print Area > Set Print Area). Use Rows to Repeat at Top to keep header rows on every page. Place manual page breaks where you want pages to split (Page Layout > Breaks > Insert Page Break). Our converter respects all these Excel page setup settings when generating the PDF.
